We are looking for a Learning Logistics Specialist who is dynamic, organized and excellent communicator to join us in our Learning Operations team, based in our HQ office in Anderlecht, in Brussels, Belgium.


 


About the role


As a Learning Logistics Specialist, you will be responsible for orchestrating and managing all logistical aspects of UCB's Global Learning training events. Your primary duties include coordinating room selection, arranging catering, and liaising with facilitators to ensure smooth event execution. You will collaborate closely with various stakeholders to guarantee that each event runs seamlessly.

What you’ll do



  • Understand the end-to-end process of Global Learning Operations to guide stakeholders and users on logistics-related queries.

  • Execute logistical requests according to Learning Operations' processes and standards.

  • Support virtual, hybrid, and in-person learning activities, including room/venue booking, catering coordination, badge access, and on-site logistics at Anderlecht and Braine-l’Alleud.

  • Oversee logistics for the Learning Center and coordinate with learning vendors when needed.

  • Collaborate with on-site colleagues for global UCB sites logistics.

  • Manage PO submissions and invoicing tracker for Learning, Growth, and Coaching services.

  • Submit annual learning data to the Covalent Learning Platform.

  • Continuously seek process improvements to ensure a seamless, user-centered experience.


 


Interested? For this role we’re looking for the following education, experience and skills



  • Bachelor Degree with a minimum of 3 years of experience in a similar logistics or event management role.

  • Proficiency in English; fluency in French is a plus.

  • Proven experience in event planning and coordination.

  • Prior experience as an assistant or in a support role is advantageous.

  • Highly organized with a structured approach to managing tasks and priorities.

  • Able to work independently with a proactive mindset, offering effective solutions to challenges.

  • Strong focus on process optimization and continuous improvement.
